Booking, Treatment, Cancellation & Refund Policy
At Skin Sincerity Aesthetics, we want every client to have a clear understanding of our booking, treatment, cancellation and payment policies before making an appointment.
By booking an appointment, purchasing a treatment, treatment course or gift voucher, you confirm that you have read and understood the relevant terms below.
Deposits & Booking Payments
A payment is required to secure every appointment.
The amount required will vary depending on the treatment booked. Some treatments require a 50% deposit, while other treatments may require full payment upfront as the deposit/booking payment.
The required amount will be clearly communicated to you before your appointment is confirmed.
Your appointment is only considered confirmed once the required payment has been received. The payment secures your allocated appointment time and is subject to the cancellation, rescheduling and late-arrival terms below.
Consultations
Some treatments require a consultation before an appointment can be booked or treatment can be carried out. This allows us to discuss your needs, assess your suitability and ensure that the chosen treatment is appropriate for you.
A consultation fee will apply where a consultation is required.
The consultation fee will be put towards the cost of your treatment if you proceed with the recommended treatment.
If, following your consultation, the treatment does not go ahead, the consultation fee will be retained and is non-refundable. This covers the time taken to carry out your consultation and assessment.
Completing a consultation does not guarantee that treatment will be recommended or carried out.
Medical & Health Information
To help us provide treatments safely and appropriately, clients are required to provide accurate and up-to-date information about their health and medical history.
This may include:
Relevant medical conditions or health concerns
Current medications or prescribed treatments
Known allergies or sensitivities
Previous aesthetic, cosmetic or other relevant treatments
Previous reactions or complications following treatments
Any other information that may affect your suitability for treatment
It is your responsibility to ensure that the information you provide is complete and accurate and to inform us if anything changes before your treatment.
Providing incomplete or inaccurate information may affect whether treatment can safely proceed.
Existing & Recent Treatments
Please inform Skin Sincerity Aesthetics of any recent or upcoming aesthetic treatments, procedures, surgery or dental work that may be relevant to the treatment you are requesting.
This information allows us to assess whether it is appropriate to proceed with your requested treatment and whether any additional waiting period may be required.
If you are unsure whether a previous or upcoming procedure is relevant, please let us know.
Consent to Treatment
Before treatment begins, we will explain the treatment to you and give you the opportunity to ask questions and discuss any concerns you may have.
You will be required to provide consent before treatment is carried out.
By consenting to treatment, you confirm that you have had the opportunity to discuss the treatment, understand the information provided to you and have provided accurate and relevant information about your health and circumstances.
Right to Refuse or Postpone Treatment
We want to ensure that every treatment is suitable for you and appropriate to carry out at the time of your appointment.
Skin Sincerity Aesthetics reserves the right to decline, postpone, modify or stop a treatment if we feel that it is not suitable or appropriate to proceed.
This may include circumstances where:
A treatment is not considered suitable for you
Relevant medical or health information has not been provided
A required consultation or patch test has not been completed
You have recently undergone another treatment, procedure, surgery or dental work that may affect your suitability
There is another reason why proceeding with the treatment would not be appropriate
Where treatment cannot go ahead, we will explain the reason to you where possible and discuss the next steps.
Before & After Photography
Before and after photographs are required for every treatment at Skin Sincerity Aesthetics. These photographs must be taken before treatment can proceed.
Photographs form part of your treatment records and are taken for professional record-keeping, treatment documentation and insurance requirements. They allow us to accurately document your treatment and results.
Treatment photographs will be kept private and confidential and will not be shared publicly without your separate consent.
You will be asked separately whether you are happy for your photographs to be used for:
Social media
Our website
Advertising and marketing
Promotional materials
Before-and-after treatment examples
Consent to public use of your photographs is completely separate from your consent to treatment.
You can choose not to have your photographs shared publicly, and this will not affect your ability to receive treatment, provided you consent to the required private treatment photographs.
Where consent for public use is not provided, your photographs will remain private and confidential and will only be used for appropriate treatment records, professional record-keeping and insurance purposes.
Patch Testing
Some treatments require a patch test at least 48 hours before the scheduled treatment.
Where a patch test is required, it is the client's responsibility to ensure that the patch test is completed within the required timeframe.
If you do not complete a required patch test at least 48 hours before your treatment, or if the patch test produces an unsuitable reaction, the treatment may need to be postponed or cancelled.
Treatment Results
Every client is different, and treatment results can vary from person to person.
While we will always aim to provide the best possible treatment and outcome, specific or guaranteed results cannot be promised.
Results may depend on individual factors including skin type, lifestyle, medical history, previous treatments and how your body responds to treatment.
Where appropriate, realistic expectations will be discussed during your consultation.
Aftercare
Following your treatment, you may be provided with aftercare advice and instructions specific to your treatment.
It is important that you follow the aftercare advice provided to you, as this can help support your results and reduce the risk of unwanted reactions or complications.
Specific aftercare instructions may vary depending on the treatment received.
If you have any concerns following your treatment, please contact Skin Sincerity Aesthetics as soon as possible so that we can advise you on the appropriate next steps.
If you experience severe or urgent symptoms, you should seek appropriate medical assistance without delay.
Age & Identification
Clients must meet the minimum age requirement applicable to the treatment being provided.
Where appropriate, valid photographic identification may be requested to confirm your age before treatment.
If you do not meet the relevant age requirement or cannot provide identification when requested, treatment may not be carried out.
Cancellations
We kindly ask that you provide at least 48 hours' notice if you need to cancel your appointment.
Cancellations made with 48 hours or more notice may allow your payment to be transferred to a future appointment, subject to availability and the treatment booked.
Cancellations made with less than 48 hours' notice may result in the loss of your deposit or booking payment.
If you do not attend your appointment and have not contacted us beforehand, your deposit or booking payment may be forfeited.
A new payment may be required to secure any future appointment following a late cancellation or no-show.
Refund requests are considered individually and with care, taking into account the circumstances of each situation.
Rescheduling
If you need to change your appointment, please contact Skin Sincerity Aesthetics as soon as possible.
Where at least 48 hours' notice is provided, we will do our best to accommodate you and transfer your appointment payment to another suitable date, subject to availability and the treatment booked.
Repeated rescheduling may require a new deposit or booking payment.
Late Arrivals
Please arrive on time for your appointment, as your treatment time has been specifically reserved for you.
If you arrive late, the amount of time available for your treatment may be reduced.
Depending on the treatment and the time remaining, we may need to shorten the treatment or, if there is not enough time to appropriately complete it, not carry out the treatment.
Treatments will not be rushed in order to make up for lost time.
Where treatment cannot be completed due to a late arrival, your deposit or booking payment may be forfeited, and a new payment may be required for a future appointment.
Refunds
We understand that circumstances can change.
Refund requests are considered individually and with care, taking into account the circumstances of each situation.
Where a refund is not appropriate, we may be able to offer an alternative, such as transferring the value towards another treatment or product.
If you have any concerns regarding a treatment or payment, please contact us so that we can discuss your individual circumstances.
Nothing in this policy is intended to remove or restrict any statutory rights you may have.
Treatment Courses
Our treatment courses are offered at a discounted package price, allowing you to receive a number of treatments at a reduced cost.
Because treatment courses are discounted packages, treatment courses are non-refundable.
We are therefore unable to provide a refund for a course or for unused sessions within the course.
Course Expiry
Treatment courses must be used within the relevant course validity period:
Course of 3 treatments: valid for 6 months from the date of purchase.
Course of 6 treatments: valid for 12 months from the date of purchase.
Clients are responsible for ensuring that their course appointments are booked and completed within the applicable validity period.
Once a course has reached its expiry date, any unused treatments or remaining course value will expire and cannot be refunded.
Where appropriate, and at the discretion of Skin Sincerity Aesthetics, unused course value may be transferred towards another treatment or product.
Any transfer must be agreed before the course expires.
The applicable course validity period will be clearly communicated when the course is purchased.
Gift Vouchers
Gift vouchers purchased from Skin Sincerity Aesthetics are valid for 12 months from the date of purchase.
The voucher must be used within this validity period.
Gift vouchers cannot be exchanged for cash.
If the value of the treatment or product purchased is greater than the voucher value, the remaining balance will be payable by the client.
Any additional terms relating to the use of a particular voucher will be communicated at the time of purchase.
Privacy & Client Records
At Skin Sincerity Aesthetics, we collect and maintain certain personal information to provide treatments safely, maintain accurate treatment records and meet our professional, legal and insurance requirements.
Depending on the services you receive, this may include your contact details, medical and health information, consultation details, treatment history, consent records, patch-test results and before-and-after photographs.
Your information will be handled with appropriate care and kept secure. Access to client information will be limited to those who need it for legitimate professional, administrative, legal, insurance or business purposes.
Record Retention
Different types of records may be retained for different periods depending on their purpose and any applicable legal, professional, insurance or regulatory requirements.
Treatment Records & Consultation Forms
Treatment records and consultation forms will generally be retained for 6 to 7 years following your last treatment or consultation.
This may include treatment notes, consultation information, consent records and other documentation relating to your treatment history.
Financial & Tax Records
Financial and tax records will generally be retained for 6 years plus the current financial year, in accordance with applicable HMRC requirements.
Patch Test Records
Patch-test records will generally be retained for a minimum of 3 years. They may be retained for longer where required by our professional or insurance requirements.
Marketing Information
If you choose to receive marketing communications, your information will only be used for marketing purposes.
You can withdraw your marketing consent or request to be removed from our marketing communications at any time.
If you do so, we will stop using your information for future marketing communications and remove you from the relevant marketing list as soon as reasonably practicable.
Before & After Photographs
Before and after photographs are a mandatory part of every treatment at Skin Sincerity Aesthetics and form part of your treatment records.
These photographs may therefore be retained for the same period as your treatment records where required for professional record-keeping, insurance, legal or liability purposes.
Treatment photographs are kept private and confidential and are not automatically used for marketing purposes.
Separate consent must be provided before your photographs are used for social media, our website, advertising, marketing or other promotional purposes.
If you withdraw your consent for marketing use, we will stop using your photographs for future marketing purposes and remove them from active marketing use where reasonably practicable.
This does not affect our ability to retain photographs that form part of your treatment records where there is a legitimate reason or requirement to retain them.
Keeping Your Information Secure
We take reasonable steps to keep your personal information, medical information and treatment records secure and protected from unauthorised access, loss, misuse or disclosure.
Your information will only be accessed or used where there is a legitimate reason for doing so in connection with your treatment, business administration, legal obligations, insurance requirements or other appropriate professional purposes.
Your Information
You have rights in relation to the personal information we hold about you.
If you have any questions about the information we hold, how it is used, or wish to exercise your data-protection rights, please contact Skin Sincerity Aesthetics directly using the contact details provided on our website.
Adverse Reactions & Concerns Following Treatment
Although we take appropriate care when carrying out treatments, reactions or complications can sometimes occur.
If you experience an unexpected reaction, unusual symptoms or have any concerns following your treatment, please contact Skin Sincerity Aesthetics as soon as possible so that we can advise you on the appropriate next steps.
Where symptoms are severe, urgent or require medical attention, you should seek appropriate medical assistance without delay.
Insurance & Licensing
Skin Sincerity Aesthetics will only provide treatments that are appropriately covered by our professional insurance and where any applicable licensing or regulatory requirements have been met.
Certain procedures in Wales are subject to specific licensing requirements. Whether specific requirements apply will depend on the treatments being offered.

Any relevant information or photographs that may help us understand the issue
